Rental Policies
Please read our Policies & Rental Agreement, below, very carefully, and note the following:
- Finalizing your rental by placing a deposit constitutes a full and binding agreement subject to all the terms & conditions outlined below.
- Awareness of our policies will help you plan for your vacation and know what to expect; we want you to have a memorable, fun and relaxing getaway in a sweet home, with no confusion or surprises - except maybe a pleasant one like a sudden whale or sea lion spotting, or a shooting star overhead!

RESERVATIONS & PAYMENT INFORMATION
Use our convenient cost calculator to get a quote on a home rental. All reservations must be submitted online via our website. When a 50% partial payment is made with your reservation, your final payment of the remaining 50% is due no less than 21 days prior to your scheduled arrival date. Sweet Homes Inc. will automatically bill your remaining balance to the same credit card used for your initial deposit unless you provide us alternate credit card information. For your convenience, we accept all major credit cards (Visa, MasterCard, American Express). You will receive an email confirmation of your reservation, as well as an e-receipt for your payment.
Once Sweet Homes Rentals receives your payment in full, the key lock box code, check-in and check-out instructions for your home, and driving directions will be made available to you before your scheduled arrival. Key lock box codes are changed for every guest to ensure your security.
Sweet Homes Rentals will have your credit card information after your payment, so we do not charge a security deposit. Like hotels, we simply reserve the right to charge your credit card account for damage, theft, or any special cleaning required after your stay.
To avoid any extra charges, please be sure that:
- No damage of any sort is done to the house or any of its contents.
- All debris & rubbish are placed in garbage cans and covered or removed (garbage should
be put out on garbage day).
- All cookware and dishes are cleaned and put away.
- The Hot tub policy is strictly followed (for homes with hot tubs).
- All bed linens, used towels, and other laundry is washed and left for our cleaners to put
away, unless you have pre-paid our laundry fee to have our cleaning service do your laundry for you after your departure. If you have not pre-paid for laundry and you leave dirty laundry, the laundry fee will be charged to your card.
- All keys must be returned to the lock box. The hot tub key must be left where you found it upon arrival. Missing keys are subject to replacement cost plus $100.
- No contents of the home may be missing or damaged – including little things from the kitchen, books, DVDs, game pieces, etc. These are not take-home mementos!
- Renters must abide by all house rules & policies. Violations may result in termination of rental agreement and/or additional fees.
- There may be no evidence of smoking at all on the premises. There is a $500 fee for violators.
- No additional or undeclared tenants or pets may stay in the home at any time. No additional cars may be parked at or near the home beyond those registered with us.
- Please be aware that a renter may be evicted by the owner (or any appointed representative of the owner), local law enforcement, or the security company employed by SHR if unduly rowdy, inappropriate, dangerous, or illegal activities occur at a property, or if there is noise that may be heard by neighbors after 10pm or before 8am.
CHECK-IN PROCEDURE
Check-in is @ 4:00 pm and Check-out is @ Noon.
There is no "check-in." You simply enter the code we give you, access the key, and enter your sweet home! The same is true on the way out: to check-out you leave the house as per the check-out check list, lock all doors, replace the key in the lock box, and that's it.
We are sorry, but we cannot easily accommodate early check-ins or late check-outs. For maintenance and cleaning schedules, it is imperative that you neither arrive early nor leave late. If you depart later than Noon, you will be charged for an additional half day, or more, depending on the time you depart. If an early check-in or late check-out is required, you must discuss this with Sweet Homes Rentals 1 week prior to your arrival, and while we always try to accommodate our guests’ needs and schedules, we cannot guarantee that we will be able to accommodate your request.
MININIMUM NIGHT STAY
Our minimum stay is 2 consecutive nights in fall/winter/early spring, and 3 nights in summer. Holidays require a 3-7 night reservation, the length depends on the holiday and how it falls on the calendar in a given year. Days that count as holidays include: New Year's, Spring Break, Memorial Day, 4th of July, Labor Day, Thanksgiving, and Christmas.
CANCELLATIONS / REFUNDS
Reservations cancelled more than 14 days prior to scheduled arrival date will forfeit your 50% deposit unless the house can be re-rented for the entire cancelled period; only a $50 handling fee will be charged for the cancellation processing.
Reservations cancelled less than 14 days prior to rental will be charged the full rental fee unless the home can be rented to other clients, in which case only a $50 Cancellation Handling Fee will be charged.
Please note that any cancellations for holiday rentals or for bookings made more than six months in advance will be charged 50% of the total rental when cancelled more than 21 days prior to your check-in date, and 100% of your rental cost when cancelled within 21 days of your rental.
No refunds will be made for late check-in or early departures.
HURRICANE, TSUMAMI & STORM POLICY
No refunds will be given unless the National Weather Service orders mandatory evacuations in a "Storm/Hurricane Warning area," including the location of your rental home.
The day that the National Weather Service orders a mandatory evacuation in a Hurricane/Tsunami Warning, we will refund:
- Any unused portion of rent from a guest currently registered, for the duration of the warning (if it is overnight) or for the remainder of the stay if severe damage prevents return to the home;
- Any unused portion of rent from a guest that is scheduled to arrive, and wants to shorten their stay, to come in after the Warning is lifted; and
- Any advance rents collected or deposited for a reservation that is scheduled to arrive during the
Warning period.
CLEANING INFORMATION
Cleaning Fee: Each of our homes has a standard housecleaning fee that applies to every rental.
The fee guarantees that your home will be clean and ready for your check-in; it also provides a cleaning service which will do a standard cleaning after you check-out. If you would like additional housekeeping services during your stay, please let us know asap and no later than a week before your visit; extra fees apply at the rate of $25 per hour. When you arrive, your rental home will be stocked with basic paper products to get your started, including toilet paper, paper towels, napkins, laundry, and dish detergents; if you use what is available you will need to provide your own. Beds will be fresh, clean and made for you by our house cleaners.
CHECK-OUT REQUIREMENTS
In order to avoid being charged any additional cleaning fees after your departure, please leave the home in the same good condition as when you arrived (no need to dust, vacuum, etc., unless you make more of a mess than standard gentle use). For example:
- Furniture may not be rearranged. If moved at all, furnishings must be returned to their exact, original position prior to your departure, with no signs of damage or broken parts.
- All food, drink, or other spills/stains should be cleaned up immediately. Food and drink spills on carpets or furnishings are treated as damage, not normal wear and tear.
- All bed linens, used towels, and other laundry must be washed and left folded; please do NOT remake the beds! Dirty or unfinished laundry will result in an additional cleaning charge.
- The oven, freezer & refrigerator should be emptied of all food and free from spills. Charges will apply if food spills in the oven and is left after your stay.
- All cookware and dishes must be cleaned.
- Lights and all electrical appliances should be off; windows and doors must be closed & locked.
PET POLICY
We are a dog-friendly company and most all of our homes welcome your canine family members. There is a flat fee for dog guests. It is $50 for 1 dog, $75 for 2 dogs, and $100 for 3 dogs. Of course, we require that there is no evidence of our pet guests upon your departure - no chewed or damaged furniture or household items, no excessive dog hair, no accidents in the house, no odors, no stains, and no piles of doggy droppings around the home. Evidence of dogs will result in an appropriate charge after your departure. The fine for pets in the home during your stay that were not pre-approved and pre-paid is $250 per animal, so please be sure to make arrangements with Sweet Homes prior to your arrival!
SMOKING POLICY
ABSOLUTELY NO SMOKING IS ALLOWED IN OR AROUND ANY OF OUR HOMES. If smoking of any type is detected in the home or on the premises, you will automatically be charged a $500 fine.
IMPORTANT RULES & POLICIES
- The primary registered guest must be at least 25 years of age.
- The majority of guests must be over 25, or supervised children.
- The primary registered guest is responsible for any expenses incurred during the visit, including but not limited to loss and damages, accident or injury to person, or losses sustained while visiting the home.
- Sweet Homes does not allow large gatherings in homes or in the public areas - no more than the maximum number of people or cars are allowed at the homes at any time during your stay.
- No catered food, rented tables or amplified music allowed. No parties of any type are allowed. Evidence of parties at any of our properties (during your stay, or evidence of parties found upon your departure) will result in an immediate $500 fine, plus the cost of any damages, extra cleaning, etc.
- 10pm is quiet time in Yachats and Waldport; there can be no loud noises, music, rowdy behavior, or other disruptive activities in the evening. If neighbors can hear you between the hours of 10pm and 8am, you are in violation of this rental agreement. If you violate this policy you are also violating Yachats' City Ordinance and you will be fined (at the least), and possibly evicted and fined.
- Occupancy for each home is strictly enforced and fines will be assessed for exceeding the number of allowed or reported guests, including children, adults and pets. Arrangements can be made prior to check-in to allow additional guests or pets at a prearranged price. No more than the posted maximum number of guests or cars are allowed under any circumstance.
- Guests acknowledge and authorize Sweet Homes Property Management to charge Guest's credit card for all damaged and/or missing items to the premises while occupied by the guest.
- If cost of extra cleaning, replacement, or repairs exceeds the guest's credit card limit, guest agrees to pay the difference to Sweet Homes Rentals within 10 business days or face credit reporting and legal action.
- Motor homes, trailers, campers, or boats may be allowed, but only with prior approval. Some properties do not allow or accommodate large vehicles.
- LOST & FOUND items left are subject to a $50.00 retrieval and handling fee, in addition to packing and shipping costs. We are not responsible for lost or forgotten items.
- Sweet Homes Management reserves the right to enter the premises, if need arises, without prior guest permission. We will make every effort to contact the guest as to the time, purpose, name of personnel, and duration of any emergency visit.
- Sweet Homes Property Management and homeowners disclaim all liability for injury, loss, or damage. Renters are entirely responsible for their safety and well being when using the home and rental premises.
- SHPM will be held harmless from claims arising out of use, or misuse, of home.
- SHPM is an agent for the owner, not an owner nor a tenant. As agent, SHPM has the authority to act in the best interest of the home owners in any and all situations.
- Each home is privately owned, including furnishings, and must be treated with care and respect.
- Rules and regulations are on record with the owner and as part of the Vacation Rental Contact agreement. They are also posted in the home. Please adhere to them at all times.
- A lost key (or keys) will result in a $100 replacement charge.
- Renters may NOT change the settings on any electronic devices, technology, computers, remote controls, etc., or unplug or disconnect or rewire any devices in the home. If you have questions or problems, please contact our property managers immediately.
- Renters may NOT use the WiFi connection to do anything illegal; also, please do not visit adult websites on home computers. Do not adjust computer settings, change the homepage, screen saver, or background, or download any other software --- these actions are forbidden.
- Unauthorized opening of any locked units, closets, cupboards or other entities will result in criminal charges of burglary and theft. Please respect locks; if it's not open, you do not have access to it.
- For homes with fireplaces, please burn presto logs or prepared firewood. Absolutely no driftwood or other items (paper, yard wood, etc.) may ever be burned in any of our homes.
- Violating any laws while on premises will result in eviction, loss of rent, and possible other fees and/or criminal charges. Please be law abiding guests at all times!
- Violation of any Sweet Homes rules, policies or terms & conditions of this rental contract will nullify the contract and result in both possible eviction and additional charges or fines.
HOME AMENITIES LIST
The following items are included in each sweet home:
A color TV/VCR and/or DVD, washer/dryer, silverware, dishes/cookware, toaster, microwave, coffee maker, basic kitchen utensils, bath towels (not for the beach!) bed linens, blankets or quilts, pillows, garbage containers, stereo, often with CDs and/or Ipod dock, grill (if there's gas or charcoal, you may use it; if not, you will have to provide your own), free wifi, alarm clocks, movies, books and games, laundry detergent, toilet paper, paper towels and dish soap to get you started (large groups of guests or guests with longer stays should plan to bring additional supplies as you see fit).
You'll want to bring the following items for your stay:
Food & condiments, drinks, baby equipment, personal toiletries, specialty "must have" cooking items, firewood --- we STRONGLY recommend using presto logs or something similar. Any other items to make your stay more enjoyable (candles are NOT allowed!).
For any item you do not see listed or are not sure about, please email or call and ask. If you are arriving after dark, we suggest you bring a flashlight to ensure that you can always see the key lockbox easily (we generally have lights by the door, but just in case…please be prepared).
Our homes also have their own additional luxury amenities that are unique to each sweet home. Each of our homes has one or more of the following: a gas grill; a game room; a hot tub; a fireplace; a wood burning fireplace; a deck with a view; high-end appliances; a Jacuzzi bath tub; a telescope; a flat screen hi-def TV(s); and more!
HOT TUB POLICY
Guests in Sweet Homes that have a hot tub may be granted access to the hot tub for their personal use during their stay for a flat fee of $50. This fee supports the cleaning and maintenance of the hot tub.
If you choose to use the hot tub, please note that you and all your guests are subject to the following terms, conditions and rules of use:
- Guests must shower prior to entry in the hot tub.
- No shoes and no muddy feet in the hot tub.
- No sand, dirt, or other messes are allowed in the hot tub.
- No items may be brought into the hot tub: no food, no drinks, nothing other than people please.
- Please do not touch any of the buttons/nobs or change any settings on the hot tub.
- The top must be on the hot tub at all times when not in use; it MUST be locked when not in use.
- It requires two guests to properly and carefully open the top of the hot tub: do not try to do so alone as it may easily result in harm to you or damage to the hot tub.
- Any undue dirt or messes, or any damage to the hot tub, will result in a minimum additional charge of $75, plus the cost of labor and fees to fix any damage.
- No one who is under the influence of alcohol or drugs is allowed in the hot tub. Hot tubs and alcohol/drugs are an unsafe combination.
- No one under the age of 18 is allowed in the hot tub without a parent or guardian’s supervision…ever!
- Persons with heart disease, serious health problems, or pregnant women should not use the hot tub as the high temperature of the water may cause severe health problems.
- Hot tubs can be dangerous; users assume total and full responsibility for any accidents or illnesses associated with the hot tub.
- Neither SHR nor the Home Owner assume liability for accidents or injuries. RENTERS USE THE HOT TUB AT THEIR OWN RISK..
Requesting hot tub access/paying the $50 Sweet Homes fee for key access to the hot tub constitutes agreement with all terms and conditions outlined above.
Please note that submitting your deposit constitutes your 'signature' on this Rental Contract and indicate that you agree to all the terms and conditions listed above.
